1. Purpose

This Signature Lifecycle Notice explains the status lifecycle used by AI Realty App, Inc. (“Ai Realty,” “we,” “us,” or “our”) for document delivery and electronic signature workflows.

Ai Realty may display signature workflow statuses to help users monitor document progress. Status information is provided for informational purposes only and may depend on information received from third-party e-signature providers.

2. Overview

A document workflow may move through multiple stages from creation to completion.

Not every workflow will pass through every status.

Status availability may vary based on workflow type, platform configuration, provider capabilities, and transaction circumstances.

3. Draft

Draft indicates that a workflow has been created but has not yet been sent for signature.

During this stage, users may:

  • review transaction information;
  • edit workflow data;
  • verify recipients;
  • review document packages;
  • prepare documents for delivery.

Documents remain under user control until they are sent.

4. Sent

Sent indicates that the workflow has been submitted for delivery to one or more recipients.

At this stage:

  • delivery has been initiated;
  • notifications may be generated;
  • recipient processing may begin.

A Sent status does not confirm receipt, delivery, opening, or signing.

5. Delivered

Delivered indicates that the e-signature provider has reported successful delivery to the recipient's email destination or delivery channel.

Delivered does not mean:

  • the recipient opened the document;
  • the recipient reviewed the document;
  • the recipient agreed to sign;
  • the recipient completed signing.

6. Opened

Opened indicates that the recipient accessed the document package or signing session.

Opened status does not indicate approval, agreement, execution, or completion.

Recipients may open documents without taking further action.

7. Viewed

Where supported by the applicable provider, Viewed may indicate that one or more documents were displayed to the recipient.

Availability of this status may vary depending on provider functionality.

8. Signed

Signed indicates that one or more required signatures have been completed.

A Signed status may represent:

  • partial completion;
  • one signer completion;
  • multiple signer completion;
  • execution by a specific party.

Additional signatures or actions may still be required before final completion.

9. Completed

Completed indicates that all required signatures, acknowledgments, or workflow requirements have been satisfied according to the applicable signature workflow.

Completed status generally represents the end of the signature collection process.

Completed status does not guarantee:

  • legal validity;
  • enforceability;
  • transaction approval;
  • brokerage approval;
  • MLS compliance;
  • transaction success.

10. Declined

Declined indicates that a recipient has actively refused or declined to participate in the signature process.

Reasons may include:

  • disagreement with terms;
  • recipient error;
  • document concerns;
  • transaction changes;
  • recipient preference.

Ai Realty does not control recipient decisions.

11. Expired

Expired indicates that a workflow exceeded the allowed signing period before completion.

Expired workflows may require:

  • resending;
  • workflow revision;
  • replacement documents;
  • creation of a new signature request.

Availability of expiration management features may vary.

12. Voided

Voided indicates that a workflow was cancelled before completion.

Voiding may occur:

  • by user request;
  • due to transaction changes;
  • due to workflow corrections;
  • for compliance reasons;
  • due to administrative action.

Once voided, a workflow generally cannot continue in its prior state.

13. Failed Delivery

In some circumstances, Ai Realty or the applicable e-signature provider may indicate a delivery failure.

Common causes include:

  • invalid email addresses;
  • bounced emails;
  • mailbox restrictions;
  • spam filtering;
  • provider outages;
  • recipient account issues;
  • technical errors.

Ai Realty does not guarantee successful delivery to all recipients.

14. Workflow Revisions and Resends

Certain workflows may permit revisions, corrections, replacements, or resends.

Availability of such functionality depends on:

  • workflow type;
  • product configuration;
  • subscription level;
  • workflow limits;
  • applicable platform rules.

Ai Realty may limit the number of included resends or revisions.

15. Informational Statuses Only

Workflow statuses are provided for informational purposes.

Status information may:

  • be delayed;
  • contain timing discrepancies;
  • depend on third-party providers;
  • be temporarily unavailable;
  • be affected by technical limitations.

Users should not rely exclusively on workflow status information when making transaction decisions.

16. User Responsibility

Users remain responsible for:

  • reviewing transaction information;
  • selecting correct recipients;
  • verifying signer details;
  • monitoring workflow progress;
  • complying with brokerage requirements;
  • complying with MLS requirements;
  • determining whether additional follow-up is required.

Ai Realty assists with workflow tracking but does not manage transaction communications on behalf of users.

17. Relationship to Other Policies

This Signature Lifecycle Notice supplements and is incorporated into Ai Realty’s Terms of Use, E-Sign Consent, DocuSign Delivery Notice, Document Responsibility Notice, AI Usage & Limitations, and other applicable Legal Hub documents.

If there is any conflict between this Notice and another Ai Realty policy, the more protective limitation of Ai Realty’s role applies.
